Trainee Housing Services Coordinator

JOB SUMMARY To provide a comprehensive effective and flexible local housing service to residents within a defined management "patch", in accordance with the Association's established policies and procedures. As this is a trainee position, the post holder will be required to participate fully in a programme of training and mentoring to progress to a level where they will, after successful completion of the programme have acquired the necessary knowledge, skills and abilities to perform all tasks involved in the role of a Housing Services Co-Ordinator. As part of this programme the trainee will fully deliver housing management services to designated estates. KEY RESPONSIBILITIES Participate Fully in Training ProgrammesTo attend all training courses as directed by Line ManagerTo complete all course work as required by such training coursesTo undertake any duties deemed appropriate to aid trainingTo prepare for and actively participate in regular review meetingsIdentify any gaps in training programme and bring to attention of Line ManagerTo carry out all duties in accordance with the Associations’ policy & procedures AdministrationCarry out all administrative functions as required Housing ManagementTo deliver a full housing management service to designated estates RepairsManaging and implementing the repair service efficiently per the Associations Repairs & Maintenance PolicyMeet on-site staff as directedResponsible for seeking quotations/tenders and making recommendations when appropriateOrganise the repair of properties prior to re-lettingAssist in the inspecting of repair workInspecting void properties Lettings/AllocationsManaging the letting and allocations of properties per policyInterviewing and assessing prospective residents and making allocation recommendationsCo-ordinating the viewings of properties with prospective residents at hand over and casual re-lets stageManaging void propertiesAdvising prospective residents with regard to tenancy agreementAdvising residents and prospective residents of housing options Estate ManagementManaging estates per the Associations policiesRegularly visit estates and complete necessary paperworkRecording any nuisance and taking appropriate actionManaging Anti-Social Behaviour and other breaches of tenancyRecording and identifying causes of damage to property and ensuring it is remediedTo maintain accurate current records of all properties, residents, and incidents Estate Development / Tenant ParticipationAssisting residents to set up appropriate structures to optimise the involvement of residents in their schemeProviding information on external agencies, whose services may be of benefit to tenantsAssist in the organisation and delivery of pre-tenancy programmesCarry out post tenancy work, including providing advice and information on good practice in setting up a Residents AssociationsProduce annual estate action reports and plans OrganisationUtilise the housing management computer system for the administration and maintenance of all relevant housing management filesDevelop and maintain relationships with local housing authorities and other agencies who have a key role in effecting housing managementProduce reports as required on housing management for all estates in your allocated patchTo be fully self-sufficient in administration and maintain all housing management and tenant files Health and SafetyTo conduct all activities in a manner, which is safe to yourself and others.To be aware and act in accordance with the Association’s Health and Safety Policy. GeneralTo contribute to the effective delivery of Quality Customer Orientated Service through the formulation, review and proper implementation of policies and procedures.To adhere to requirements of Service Level Agreements in the delivery of a quality management service.  To participate on forums/working groups/committees as required.To maintain accurate and up to date files for each property in the management area.To adhere to the various pieces of legislation governing Housing Associations i.e. GDPR, RTB, Regulation Code etc.To produce a monthly report on all housing management issues and key performance statistics for the area.To undertake other occasional duties which are consistent with the responsibilities of the post including very occasional evening or weekend work.Essential RequirementsPrevious practical experience in housing managementExperience of working with the public in a customer-oriented environmentExcellent computer literacy with experience that includes word-processing, spreadsheets, presentation packages, e-mail, electronic schedulers, and internet.Ability to work with accuracy and attention to detailKnowledge of industry related legislation Possess excellent verbal and written communication skills, have the ability to compose letters, memos and reportsAbility to be self-motivated and work on own initiative and also be part of a teamThe ability to handle sensitive and confidential information in compliance with GDPR legislationThe ability to deal with problems/enquires in a diplomatic and sensitive mannerA high level of organisational skills and the ability to prioritise workload and meet deadlinesPossess commitment to deliver a high-quality
