Position Overview Our Technical Project Coordinators are responsible for the full project life cycle delivery of our software solutions, from the definition of an SOW as part of the pre-sales engagement, through to handover to BAU. You will serve as the primary liaison between the company and multiple customer stakeholders, having primary responsibility for all project implementation and technical integration tasks. This role will encompass developing, managing, and communicating detailed project plans to ensure that tasks are completed on time, within budget, and that we meet or exceed customer expectations. You will also provide essential support to the Head of Professional Services – APAC, assisting in project management and coordination, process improvement initiatives, and aligning delivery strategies to business goals. The role will be flexible with some requirement to be in the Melbourne office, and with the requirement for regular travel nationally. You may also be required to travel internationally from time to time. Key Responsibilities 1. Project Management Manage the complete lifecycle of software implementation projects, ensuring delivery within scope, budget, and timeframes. Manage day-to-day PM project activities such as project planning, scope, cost, schedule, issue, risk, and client management. Communicate regularly with stakeholders about progress toward goal achievement, critical factors, and impediments. Prepare comprehensive project status and resource planning reports. Conduct and lead project status meetings. Act as the liaison between Australian customers and T-Pro's international integration team, facilitating clear communication, coordinating technical requirements, and ensuring seamless integration of systems to meet client specifications and operational goals. Translate customer needs into actionable tasks for the global team, while maintaining alignment with T-Pro’s high standards for technical delivery and customer satisfaction. 2. Customer Engagement Build and maintain strong relationships with customer stakeholders in hospital and healthcare settings. Lead customer workshops to gather requirements, configure products, and provide training. 3. Pre-Sales Support Collaborate with the sales team to contribute to tenders, proposals, and Statements of Work (SoWs). Provide technical guidance on implementation strategies during the sales process. Be a technical product expert for the T-Pro products. Drive the customers understanding of T-Pro’s capabilities and therefore their desire to purchase add-on projects, additional modules, interfaces, or development requests. 4. Implementation & Go-Live Support Oversee customer configuration meetings, ensuring software is tailored to meet client specifications. Provide training to customers on the product, either on site or via video conference. Coordinate go-live activities and provide hands-on support during critical project phases. Manage change requests for software upgrades and provide project co-ordination for such activities, advocating on behalf of the customer. Facilitate the smooth transition of projects to business-as-usual (BAU) support teams. 5. Quality Management Contribute to the continual improvement of a growing business, striving for operational excellence. Produce quality documentation. 6. Team Collaboration Work closely with cross-functional teams, including technical, product, and global counterparts, to ensure successful project outcomes. 7. Technical Capability Gather and document requirements for HL7 messaging, including ADT, ORU, SIU and MDM, and interpret core segments such as MSH, EVN, PID, PV1 and SCH. Gather and document requirements of healthcare identifiers and data concepts, including MRN, encounter numbers, visit types and clinician identifiers. Facilitate technical discussions with hospital stakeholders to assess feasibility using existing message feeds. Understand common healthcare integration patterns and constraints from upstream PAS or EMR systems. An understanding solution architecture diagrams. An understanding of integration engines (e.g., Mirth, Rhapsody). Coordinate with client IT teams and internal technical teams using foundational knowledge of VPN configuration and secure connectivity concepts. Work with technical artefacts such as HL7 message samples, interface specifications, mapping documents and test scenarios. Willingness to travel nationally and internationally as required. Desirable Qualifications / Experience Experience with hospital systems (PAS, EMR), clinical workflows, and transcription technology. Project management certifications (e.g., PMP, PRINCE2, Agile). Familiarity with Australian healthcare standards (such as HL7) and practices, speech recognition and generative AI technology.
