This involves collaborating with team members, stakeholders, and clients to deliver high-quality results, fostering a positive work environment, and continuously seeking opportunities for improvement. Sales and procurement administrators ensure efficient sales and purchase order processing for OryxAlign and clients. They contribute to the development and implementation of enterprise-wide procurement systems, document procedures, and maintain vendor relationships. The role requires a long-term planning approach to daily tasks to support company’s goals.Key Responsibilities Our Sales and Procurement Administrator will be responsible for:Manage the purchase order process: Track deliveries, update systems, and liaise with internal and external contacts. Proactively identify and implement process improvement to enhance efficiency. Review and clarify purchasing requirements: Ensure value for money through effective sourcing of goods and services. Be aware of risk analysis and understand the importance of purchasing decisions. Establish and maintain relationships: Work effectively with internal departments, management, and vendors. Promote a collaborative team environment and build supportive relationships. Support the Sales team: Assist with the preparation of quotes and proposals for existing and potential clients, and manage incoming sales enquiries promptly. Provide regular updates and feedback to team members. Assist with subscription renewals: Quote and manage upcoming renewals, prepare subscription contracts, and ensure timely completion. Consider Maintain CRM and reporting: Keep the CRM application updated, produce accurate weekly sales performance and pipeline reports, and coordinate client meetings for the sales team. To complete relevant H&S training and follow appropriate H&S guidance in relation to the role.  What we need from our Sales and Procurement Administrator.:This role requires skills to handle straightforward issues and provide advice to colleagues in the business. It involves discretion and independence under general guidance, planning and arranging work, and showing initiative. It requires judgment and knowledge of various procedures, with semi-routine duties. Frequent senior-level contacts focus on influencing and negotiating. The job involves reactive and proactive elements, with monthly reviews. It operates under high pressure, requiring concentration and high-quality service, with targets often set by external factors. The role also has some accountability for equipment and services to the business and clients Experience and expertise.Essential:Relevant experience in procurement or similar role is highly valuable. Strong interpersonal skills and emotional intelligence, including the ability to builds trusted relationships across OryxAlign and externally. Experience within a procurement or purchasing function Experience within the information technology sector and comfort with various technologies Relationship management skills with good communication and interpersonal skills Understanding of cybersecurity practices and risk management strategies Knowledge of ITIL, ISO 27001, and ISO 9001 frameworks Competence in using contract management systems and managing supplier relationships.  Desirable:A degree in business, supply chain management, procurement or a related field is desirable.
