The 4 star Ardilaun Hotel is looking for a full-time Sales and Events Coordinator to join the team.Purpose of Job: To ensure all meeting and event enquiries are handled promptly and that these enquiries are converted to bookings at every opportunity to grow our meetings and events market year on year. You will ensure that the guest needs are met from their initial enquiry through to the day of the Meeting/Event as well as implementing and adhering to Hotel policies regarding operating procedures, reservations and administration of same.Reports to Business Development Manager, General Manager & Managing DirectorMajor Function To ensure you maximize conversion of meeting and events bookings, primarily achieved by growing meeting and events enquiries - agreeing and developing new marketing strategies along with accomplishing your targets and KPI goals (key performance indicators) to ensure The Ardilaun Hotel remains the preferred choice for meetings & events in the West of Ireland. MEETINGS & EVENTS:Main point of contact for all meeting and event enquiries providing initial information on the hotel and it’s facilities, responding promptly, making follow up calls, working on all leads etc, to maximise number of show-arounds and ultimately bookings.Administration duties also include ensuring all relevant information is inputted into Hotsoft and Tablepath systems (to get maximum use out of them), regular updates of information and communication of same to the relevant departments, via the delivery of detailed weekly function sheets, personalised menus etc. Ensure open communication is maintained at all times with all Hotel departments to ensure that all bookings are carried out efficiently and as per agreed terms and conditions, assisting with bedroom reservations when necessary.Booking deposits and Confirmation emails of Events, Contracts, accurate Billing Set Up, Bedroom Block Bookings etc are all included in the administration process. Administration duties include maintenance of 3rd party corporate systems, e.g Meetings Booker & CVENT with prompt responses for new enquiries.Scheduling and conducting Hotel show-arounds and appropriate follow ups, ensuring that the presentation of all areas in the hotel that are being shown especially the meeting rooms - must be up to the agreed standard prior to meeting the guest so that the hotel is portrayed in the best possible way.Negotiating and agreeing contracts with potential clients ensuring all details are achievable and within agreed budgets.Grow and develop longterm relationships with reputable Event Management Companies and Corporate Suppliers promoting, liaising and referring each other at every opportunity to increase your meeting room/event enquiries.Work with the hotel operations team on raising the overall standard of servicing meetings and events on every level, and work with the food and beverage/sales team on developing new packages etc.Develop your own meeting and events strategy alongside your Manager to include promotional plan such as food promotions and marketing for meetings and events, menu development, service organisation, new ideas/trends etc.Responsible for assisting in the promotion and organisation of hotel corporate events etc and other relevant events.Get involved in Meeting & Conference Awards with the sales and marketing team to promote Ardilaun as a Premier Destination for Meetings & Events.Requirements:Excellent customer service skillsStrong written and verbal communication skills Ability to multitask, prioritize tasks, and meet deadlines Attention to detail Ability to collaborate effectively with various teams within the organizationBenefits:Free access to the Leisure ClubEmployee Assistance ProgrammeFree parkingMeals on DutyDiscounts throughout the hotelUniform providedWe are certified as a Great Place to Work
