Registration Executive

The Medical Council is seeking to appoint a Registration Executive (Executive Officer Grade) to assist the Medical Council within the Registration Directorate. The Directorate is responsible for advising and supporting the Council and related committee and working groups in their statutory duties and powers in the area of registration. The roles report to the Registration Manager on all matters pertaining to the Registration function. Key responsibilities will include:Report directly to the Registration Managers on all matters pertaining to the Registration Section.Develop and manage information and documentation relevant to tasks and on-going procedures within the Registration Section, including use of relevant information systems and production of reports.Organise and execute on-going internal and external communication (including telephone calls, email and letters) with individuals and organisations relevant to the work of the Registration Section.Organise, attend and assist with internal and external meetings. Responsibility for overseeing the Clerical Officers work.Observe organisational policies, procedures, good practice guidance relevant to the role and to assigned tasks and procedures.Make suggestions for improvements to activity and procedures across the Registration and the Professional Development and Practice Directorate and to assist in implementation of improvement.Any other duties as may be assigned from time to time.The above is not an exhaustive list of duties, and the job holder is expected to perform different tasks as necessitated by the changing role within the organisation and the overall business objectives of the organisation. Essential Criteria:At least 2 years’ experience in an administrative role.A minimum qualification requirement is that the applicant holds a Leaving Certificate or equivalent educational training qualification.  Desirable CriteriaExperience working within a regulatory environment, legal firm or similar organisation would be ideal.A third level qualification is desirable but not essential.  Essential Characteristics:Highly organised approach and strong attention to detail in managing information, including file management and use of ICT.Ability to be flexible and adapt to changing demands, manage competing priorities and meet deadlines.Ability to work independently, to demonstrate initiative and to work as part of a team.Applicants must have strong interpersonal, communication and IT skills.Ability to work with confidential information and maintain confidentiality.Ability to be clear and concise in communications, including reports (both qualitative and quantitative), minutes, website content and publications. Please note the Medical Council are currently reviewing its organisation structures under a new high level organisation design announced in April 2023. The purpose of our new design is to better support delivering on our purpose and overall strategy. As we continue to build detailed structures under our new Executive Leadership team, it is anticipated that there will be some changes to our existing organisational structure and some reporting lines. This is an exciting time to join the Medical Council while we undergo this important transformation. Details of this Appointment: Position Type: This appointment will be offered on a full-time permanent basis. A 6-Month probationary period applies to this appointment.Salary: Starting salary will be at €33,812, which is the first point of the Executive Officer PayScale. If you are currently a serving civil or public servant, your entry point to the PayScale may be higher based on your current salary. There will be a salary increment each year in line with the Executive Officer Grade PayScale and subject to satisfactory performance, until the maximum point on the scale has been reached. The rate of remuneration will not be subject to negotiation and may be adjusted from time to time in line with Government pay policy.  Executive Officer PayScale €33,812 (starting) - €35,714 - €36,788 - €38,884 - €40,763 - €42,580 - €44,391 - €46,164 - €47,955€49,696 - €51,492 - €52,692€54,4031 (LS1 After 3 years satisfactory service at the maximum)€56,1272 (LS2 After 6 years satisfactory service at the maximum)Annual Leave: 23 working days plus public holidays Hours: 35 hours per week, Mon-Fri. Location: The Medical Council’s offices are located at Kingram House, Kingram Place, Dublin 2. We operate a hybrid working model with both remote working and a current requirement for on-site attendance one day per week, which is under review and may be subject to change over the course of 2023.Pension: The Medical Council offers a pension through the Public Sector Scheme. Contributions to the scheme will commence on joining the organisation.
