Operations & Office Administrator

We are currently recruiting for an Operations and Office Coordinator for our expanding team in Ireland. The candidate will work within and form a key part of our Operations team, based in our Limerick office. They will be joining a very experienced team of talented individuals with expertise across a wide variety of engineering disciplines and proven success in delivering large scale projects.Reporting toOperations ManagerRole and ResponsibilitiesThe key responsibilities for the successful candidate will include:Supporting the Operations Manager with Operations administration tasksOrganising, arranging, and coordinating meetingsResources coordinationAdministration of equipment and training registersManagement of office equipmentEquipment ordering and assignmentStock taking and reordering office supplies whenever necessary.Co-ordinating with PM’s to ensure employee timesheets are being submitted accurately and on timeUtilising company financial tool for raising PO’s, adding SO’s, generating reports etc.Assistance finance team with invoice processingSorting and distributing incoming and outgoing post/deliveriesHandling external or internal communicationHandle receptionist duties from time-to-time which includes meeting and greeting guests.Build rapport with a wide variety of stakeholders – Internal & externalCompetenciesAdvanced Microsoft office suite skills – Excel, Word, PowerPointWeb based reporting tools & Live SpreadsheetsExcellent communication, interpersonal & diplomacy skillsStrong written and verbal communicationExcellent phone mannerSelf-motivated, assertive and enthusiasticAbility to prioritise tasks & work to tight deadlinesAbility to work with several stakeholders simultaneouslyTeam playerProfessional, positive & organised problem-solving approachExcellent attention to detailExperience and Qualifications Advantageous o Qualifications with focus on management, engineering or businesso Microsoft Office Suite Certificationso 2 to 3 Years in a similar roleo Preparation & coordination of project documentationo Reporting & tracking – Internal & externalNecessary o Excellent written and spoken English requiredo Full clean driving licence
