Job Title: Laboratory Administrative Secretary Department: Laboratory Reports to: Senior Administrator Laboratory ManagerDate: 2024Overall Purpose of RoleWe will provide exceptional patient care in an environment where quality, respect, caring and compassion are at the centre of all we do.To assist in routine processing and co-ordinating the Laboratory service in accordance with the mission, values, vision and strategic plan of the Hospital. This role will require the ability to work across the main laboratory disciplines, under the direction of Senior Administrator and the Laboratory Manager. Responsibilities and DeliverablesRegistration of patient information onto the Hospital Computer System.Providing administrative support for Pathology Laboratory, including typing and printing of reports, minutes etc as required.Ensuring that telephone and email queries are answered promptly and where necessary are referred to the appropriate area.Ensuring that information is released to authorised individuals. (Pathology reports are not communicated directly to patients by administrative staff.)To assist in the implementation of a quality management programme that is patient centred and which measures and audits performance and client satisfaction. Service DeliveryPrioritises and organises work during busy periods. Managing incoming and outgoing postCo-operate with the relevant staff in new ideas and technologies according to the Hospital policies.Providing secretarial support, correspondence, photocopying, faxing etc to medical and scientific staff.Typing pathology reports as required.Recording of results onto the Laboratory Information System as required by scientific staff.Receive and record details concerning mishaps, complaints and defects in supplies and equipment, investigate the circumstances as required, and report findings to laboratory management. Participate in professional development, through self learning and formal courses or informal on the job training.Staff ManagementParticipate as required in the training of the laboratory administrative team. Be professional, punctual and dedicated member of the laboratory team promoting good open communications.Communicates clearly and courteously to members of the laboratory team and all clients of the hospital. Health and SafetyParticipate in ensuring that effective safety procedures are in place to comply with the Safety, Health and Welfare at Work Act as within hospital policy.Assist and co-operate with Laboratory Management Team in developing procedures to be followed in preventing and managing accidents occurring in the Laboratory area. QualityParticipate in the implementation of quality management programmes, specifically INAB and JCI accreditation.Ensure adherence to all codes of and guidelines relating to professional practice and including the maintenance of Quality Assurance standards. ReviewAchievement of laboratory and personal objectives is facilitated by review.Participate in review process as outlined by the Laboratory Management team. Any other duties deemed appropriate to the post. Please note that the duties of this post may change over time. FlexibilityThis post requires a high level of flexibility to ensure the delivery of an effective and efficient service. As the role develops in the Hospital this job description may be reviewed in light of possible new structures and/or changing needs of the Hospital.  Qualifications:Comprehensive second level education Computer Skills Skills/Abilities:High level of proficiency using English language both verbal and writtenExcellent team playerExcellent organisational, communication and interpersonal skillsAbility and experience in liaising with staff at all levels within the hospitalAbility to use initiative. Experience: Experience and ability in using computer-based systems. Desirable:Experience and ability in using Laboratory Information Systems Previous experience of working in a hospital / healthcare setting   Knowledge & Understanding:Excellent understanding of GDPR and Patient Confidentiality policies and procedures. Knowledge of and experience in using Medical Terminology
