Fleet Coordinator

The role: The Fleet Coordinator will be a highly organised person with good quantitative ability. The person will be responsible for maintaining detailed records of vehicle servicing and inspection and scheduling regular vehicle maintenance to ensure operational efficiency, among other duties. Excellent communication is vital, with IT and administration skills and the ability to work as part of a team. The role will involve working closely with drivers and managers.The person:The Fleet Coordinator will have responsibility for the management and compliance of a large fleet of vehicles. The person will be self-motivated with the ability to work on their own initiative ensuring deadlines and targets are being met.  KEY RESPONSIBILITIES AND ACCOUNTABILITIESTake responsibility for maintaining the Fleet asset register, ensuring vehicle data is always accurate.Schedule repairs or preventative maintenance, ensuring that the necessary numbers of fleet vehicles are available at all timesManage Company Car Fleets driver defects, arranging repairs/services/call outs for breakdowns.Monitoring of all rental and BIK fleet, ensuring they are completing their scheduled fleet maintenance activities on time and submitting their respective fleet documents onto management system for assessment. Deal with high volumes of employee enquires on all aspects of vehicle leasing and fleet management in a timely manner, meeting deadlines where applicableCommunicate effectively over the phone and establish an excellent working relationship with staffManage and monitor repair costs to fleet to improve efficiencies. Deal will all new fleet rental enquiriesEnsure that all fleet vehicles are clean, presentable and maintained to the highest standard. Action system updatesConduct and compile vehicle audits, identifying defects andfollowing up with workshops to ensure repairs are completed.Conduct regular vehicle and driver audits around our network of depots reinforcing company compliance culture.Review compliance issues with the aim to reduce risk and increase overall vehicle/driver performance.Multi-tasking and prioritising workload to meet shifting priorities within the businessProcessing of Accident report forms, assisting with Incident investigation and following up with Insurance company claimsReview fleet insurance and ensure quarterly declarations are completedManagement of all penalty charge notices, Key Management-spares/Replacements/allocationsAssist with Fuel account queries Ensure that all vehicles in the fleet are roadworthy, booking MOT's and services as necessaryEnsure compliance and adherence with all H&S policies and proceduresLicense CheckingPPPE distributionEnsuring all vehicle tax is up to date and correctPreparation of fleet maintenance and health and safety reportsHealth and Safety inspections of all HCIL office buildingsMonitor and review of all risk assessmentsGeneral Office DutiesEssential Criteria:Must be able to drive and have access to a car
