Executive Officer - Records Unit

The Executive Officer is expected to be responsible for and to take ownership of tasks and bring them to a satisfactory conclusion through the effective organisation, allocation and supervision of work. This junior management role is varied and requires the role-holder to be flexible, capable of working to tight deadlines while also being committed to delivering quality results. General duties may include but are not limited to the following: ·      Processing, reviewing, and quality assuring applications by relevant persons under Parts 2 – 4 of the Birth Information and Tracing Act 2022 in line with Ministerial Policy Guidelines and internal Authority procedures.·      Processing, reviewing, and quality assuring applications by eligible persons for making entries on the Contact Preference Register established under Part 6 of the Birth Information and Tracing Act 2022 in line with Ministerial Policy Guidelines and internal Authority procedures.·      Delivering statutory information sessions to applicants under Section 17 of the Birth Information and Tracing Act 2022 in line with Ministerial Policy Guidelines and internal Authority procedures.·      Liaising with counterparts in Tusla - the Child and Family Agency with reference to the Birth Information and Tracing Act 2022 in line with agreed inter-agency protocols.·      Managing referrals to professional Social Workers for brief intervention services and CPR matches.·      Responding to services user requests/queries whether by phone, email or post in a timely, sensitive, and impartial manner.·      Working in a professional team and in multi-disciplinary settings to progress the organisations aims;·      Managing and prioritising a workload, appropriate to the position;·      Managing people·      Working closely with other members of the team and supporting them;·      Taking ownership of assigned tasks and prioritising competing tasks in order to ensure that they are completed on time and to a high standard;·      Capable of using initiative as and when appropriate;·      Developing and maintaining the technical skills and knowledge required to perform the role;·      Presenting material - oral and written - in a clear, concise, comprehensive and convincing manner; ·      Any other duties clauseBlended working is available with the position, subject to the nature of the duties assigned to the role, at a time agreed with the line Manager. Further detail in relation to this position can be found on our careers page within the candidate information booklet.
