Events Co-ordinator

The Events Team plays a crucial role in delivering high-quality events that enhance the visitor experience and generate revenue to support the Museum’s collection. As part of the Visitor Experience & Commercial department, the team works collaboratively with Catering, Facilities, Education, Retail, and Visitor Services to ensure seamless event execution and operational excellence.The Events Co-ordinator plays a key supervisory role within the Events team, overseeing the Events & Visitor Experience Administrators and managing core administrative processes for public events and experience days. They also lead on the coordination and processing of group visits to the Museum.In addition to supporting the Events & Partnerships Manager, the Events Co-ordinator takes the lead in planning and delivering smaller public events and deputises for the Events & Partnerships Manager when required. They also contribute to the curatorial and planning phases of new event concepts.Beyond these core responsibilities, the role involves hands-on support with event setup, operational leadership during public events and experience days, and assisting with wider administrative projects across the department as needed.Key Accountabilities:Event Administration & CoordinationOversee all administrative processes within the events team, including corporate bookings, trader contracting, scheduling, ticketing, and customer service.Lead on group booking procedures and manage the administration of the Friends of The Tank Museum membership scheme, including daily member communications.Manage key communication channels (Visit@, Info@, Events@, Corporate@) and social media inboxes, ensuring timely and professional responses. Team Leadership & Budget SupportSupervise the Events & Visitor Experience Administrators, delegating tasks and managing daily team operations.Support the Events & Partnerships Manager in managing public event budgets.Acting as deputy to the Events & Partnerships Manager when required. Event Planning & DeliveryLead the operational planning and delivery of public events (excluding Tankfest and Tiger Day).Assist in the curatorial and planning phases of new events.Support event setup, takedown, and on-the-day delivery. Cross-Departmental SupportCollaborate with the wider museum team on administrative projects as needed.Support the Education Officer with school bookings and related admin tasks. General DutiesAttend key meetings, taking and distributing minutes as required.Build and maintain strong relationships with clients and suppliers.Provide motivation, and direction to the wider events team.Support all health and safety and HR-related matters within the department.Serve as a Museum Duty Manager, key holder, first aider, and fire pager holder as required.What you'll bring:Excellent standard of education, with an events qualification preferredExcellent administrative skills, with a proven track record in initiating and implementing back-office systemsStrong leadership skills with the ability to inspire and supervise othersSound knowledge of all Microsoft Office packagesExperience working in a visitor attraction, museum or events environmentAdvert close date - 19th September 2025Interviews to be held - W/C 29th September 2025
