Apply today. The Role.GMC are seeking an experienced and highly organised Business Support Administrator to provide comprehensive administrative support to our company's directors. The successful candidate will play a pivotal role in ensuring the smooth operation of the director's office, managing their schedule, and facilitating communication and coordination with internal and external stakeholders. Key Duties and Responsibilities will include but are not limited to:Calendar Management: Efficiently manage the director's schedule, including scheduling meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and proactively resolve them to optimize the director's time.Communication: Serve as the primary point of contact for the director, screening and prioritizing incoming calls, emails, and correspondence. Draft and respond to correspondence on behalf of the director as needed.Meeting Support: Coordinate and prepare for meetings, including arranging venues, agendas, and materials. Attend meetings as required, take minutes, and follow up on action items to ensure timely completion.Travel Coordination: Arrange domestic and international travel for the director, including flights, accommodations, transportation, and visas. Prepare travel itineraries and provide logistical support to ensure smooth travel experiences.Document Management: Organise and maintain files, documents, and records related to the director's activities. Ensure confidentiality and accuracy in handling sensitive information and documents.Administrative Support: Provide general administrative support to the director, including expense management, invoice processing, and other ad hoc tasks as required. Assist with special projects and initiatives as directed by the director.Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including colleagues, clients, suppliers, and partners. Serve as a liaison between the director and key stakeholders, representing their interests professionally and effectively.Ad hoc activities where required including but not limited to HR and Operations support.  The Candidate: Required Experience and Competencies:Full clean driver’s license essential.Bachelor's degree or equivalent qualification in business administration, office management, or a related field is preferred.Proven experience as an executive assistant or personal assistant supporting senior executives, preferably in a corporate or construction environment.Confident, motivated and can work independently as well as part of a team.Exceptional organisational and time management skills, with the ability to prioritise tasks and multitask effectively in a fast-paced environment.Time management abilities to meet targets.Strong communication and interpersonal skills, with the ability to interact confidently and diplomatically with individuals at all levels.Discretion and confidentiality in handling sensitive information and documents.Proficiency in office productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.Flexibility and adaptability to accommodate changing priorities and work outside regular hours when necessary. Become a part of something bigger.
