A vacancy has arisen within the Quality & Patient Safety Department for a temporary position of Quality and Patient Safety AdministratorThe Role: The Administrator will provide essential administrative support to the Quality & Patient Safety Department. This role acts as the first point of contact for all quality-related queries and supports departmental initiatives aimed at enhancing patient care standards.Key Responsibilities: Meeting Coordination:Schedule, organise, and manage meetings for the Quality & Patient Safety team and others as requested.Prepare agendas and ensure the distribution of relevant documents.Attend meetings and take accurate minutes as required.System Administration:Create and maintain user profiles on various in-house quality and learning management systems.Upload and manage training records; assign mandatory and role-specific training to relevant staff.Communication & Support:Act as the first point of contact for the department, directing queries to the appropriate team member.Respond promptly and professionally to queries, escalating as necessary.System-Related Data Management & Reporting:Run, compile, and distribute regular and ad-hoc reports for committees, meetings, and departmental heads using in-house systems.Ensure all data is accurate, up-to-date, and securely stored in line with data protection policies.Content and Document Support:Assist in creating, formatting, and distributing documents, presentations, and other collateral as required by the department.Support quality improvement projects with administrative assistance.The Candidate: Exceptional attention to detail with a commitment to accuracy.Highly organised with the ability to manage multiple priorities and deadlines.Excellent computer skills, particularly in MS Office (Word, Excel, PowerPoint, Outlook) and the ability to learn internal systems quickly.Strong communication skills, both written and verbal, with the ability to interact professionally with staff at all levels.Good time management skills, with a proactive and flexible approach to tasks.A team player with a professional, discreet, and confidential manner.Desirable Experience:Previous experience in an administrative role within a healthcare, quality, or compliance setting.Experience using electronic quality management or learning management systems.Closing date for receipt of applications Friday 18th July 2025 at 4.30pm Blackrock Health at the Galway Clinic is an equal opportunities employer
