Job Title: Administrator – Emergency Department & Admissions Location: Blackrock Health Hermitage Clinic Reporting to: Administration Manager Working Hours: Full-Time, 39 Hours per Week (across 7 days) About Blackrock Health Hermitage ClinicBlackrock Health Hermitage Clinic is a private hospital providing a comprehensive range of acute medical and surgical services. Role OverviewThe Administrator – ED & Admissions plays a vital role in supporting the efficient registration, admission, and flow of patients within the Emergency Department and across inpatient and outpatient services. This is a key front-line position requiring excellent communication, attention to detail, and the ability to manage processes involving billing, data accuracy, and coordination across departments. Key ResponsibilitiesPatient Registration & Data AccuracyAccurately register all patients on the Patient Information System (Meditech), ensuring complete and up-to-date demographic, insurance, and clinical data.Ensure all registration documentation is completed correctly, including consent forms and financial agreements.Collect and process payments at the point of registration, issue receipts, and ensure accurate entry into the billing system.Monitor and verify the accuracy of registration details to ensure alignment with clinical and billing requirements.Insurance VerificationVerify patients’ insurance cover at point of registration or pre-admission, including policy type, level of cover, and approval requirements.Work with the main health insurance providers in Ireland, including:Vhi HealthcareIrish Life HealthLaya HealthcareHSF Health PlanGloHealth (now part of Irish Life Health)Aviva (legacy policies)Confirm pre-authorisation status where required (e.g., inpatient, radiology, day care procedures).Accurately record all insurance details and ensure any restrictions, exclusions or co-payments are communicated to patients.Liaise with the Insurance & Billing Department to ensure seamless handover and alignment with hospital revenue procedures.Billing & Revenue ManagementManage billing processes in line with hospital protocols, ensuring all patient charges are accurately applied and invoiced.Work closely with the finance and billing teams to ensure timely and accurate revenue capture.Support revenue assurance processes through diligent attention to patient data and service records.Patient Flow & CoordinationFacilitate the smooth flow of patients through the ED, Admissions, and across various departments.Communicate efficiently with internal teams to coordinate patient movement, including transfers to:Inpatient WardsTheatreDaycareOncology Day UnitRadiologyPhlebotomyOutpatient ServicesEnsure timely communication of patient arrival, movement, and discharge to the appropriate clinical and administrative teams.Customer Service & ProfessionalismProvide a welcoming and professional front-of-house experience for patients and families.Maintain patient confidentiality and privacy in all interactions.Handle queries and concerns promptly and escalate issues to relevant departments as necessary. Required Qualifications & ExperienceMinimum of 2 years' administration experience in a fast-paced healthcare or clinical setting.Experience in patient registration, billing, and insurance verification is essential.Familiarity with hospital information systems (e.g., Meditech) is highly desirable.Strong numerical accuracy, attention to detail, and organisational skills.Excellent interpersonal and communication abilities.Ability to work as part of a multidisciplinary team across multiple service areas.
