We have the most advanced diagnostic imaging equipment available today, full Cardiological facilities including a Cardiac Catheterisation Suite and Clinical Laboratory services.We are currently seeking Administrative Assistants for our Cardiology and Radiology departments, on permanent and fixed term, full time contracts.Job Background/Context:The Hermitage Medical Clinic is a private hospital providing a full range of medical and surgical care across a broad spectrum of specialities. The successful candidate is required to provide a professional and customer focused service to our referring consultant clients and their patients attending our reception. The Administrative Assistant will provide administrative and clerical support to the Cardiology & Radiology Departments in order to ensure the effective delivery of services to patients attending the Hermitage Medical Clinic. The role is responsible for the provision of quality administrative service in line with the highest professional practice. As a key member of the frontline team, the role holder will facilitate effective communication with colleagues in the hospital. The position requires a participatory approach to the development of services and structures, embracing continuous quality improvement and the management of changes necessary to achieve organisational objectives.The post holder will be expected to: ·        Meet and greet Patients and their families arriving in the Cardiology and Radiology Departments.·        Provide an efficient, friendly and professional service for all “clients” of clinical services including the Patients, Consultants, Consultant Secretaries and staff of the Hospital.·        Dealing with any client requests/queries in a polite and attentive manner and reporting any problems to management.·        Relay appropriate telephone messages and keep reception area clean and tidy and stocked and waiting area clean and tidy at all times.·        Update and maintain the relevant hospital information systems (including Meditech, RIS/PACS as relevant)·        Book and arrange appointments accurately for the department, ensuring there is a referral letter for each investigation.·        To pre/register all patients the day before appointment, ensuring accurate inputting of patient data onto the hospital information system including patient insurance details.·        Ensure necessary forms and paperwork are completed in relation to private health insurers.·        Obtain and file copy of outpatient registration.·        Daily banking/reconciliation and ensure all invoices are raised daily for services provided.·        Typing of reports and postage of reports in an efficient and timely manner utilising the various systems being used.·        Participate in all continuous improvement initiatives identified by the department stakeholders on an ongoing basis·        To have a close working relationship with the Clinical staff in the department.The Person:Essential requirements for the ideal candidate:·      Leaving Certificate or equivalent·      Minimum 2 years’ experience in Administration·      Familiar with a computerised patient information systems·      The ability to interact and communicate effectively with multidisciplinary staff members within the Hermitage Medical Clinic.·      Flexibility/adaptability·      Good Microsoft office skills to include MS Word and Excel·      Excellent written, verbal communication skills·      Good time management and organisation skills·      Ability to remain confidential with patient information·      Ability to have empathy with patients·      Practice high standard of customer service and care Desirable requirements for the ideal candidate:·      Experience with Meditech System·      Experience working in a Healthcare environment·      Fetac (or other) qualification in medical administration and terminologyWhy work at the Hermitage Medical ClinicThe Hermitage Medical Clinic are passionate about our people and believe in their development and growth.
