The Radiology department at Blackrock Health Hermitage Clinic provides a comprehensive range of diagnostic procedures delivered in state of the art facilities by a team of experienced professionals committed to excellence in clinical standards and patient care.About the RoleThe Administration Team Lead in Radiology will support the Radiology Admin Team Manager to manage the administrative and clerical support of the Radiology department reception by ensuring staff working in this area are trained on and comply with all relevant policies and protocols. They must also ensure that all reception duties are dealt with in an efficient, friendly and professional manner.This role is important in making a significant contribution, developing and maintaining best practice in Diagnostic Radiology services. The successful candidate will have the opportunity to participate in the design of future workflows in line with best practice.Support the Radiology Admin Team Manager in ensuring all contact with patients, clients, staff and visitors by the administration team is courteous and professional.Support the Radiology Admin Team Manager in ensuring that all enquiries to the department are dealt with promptly and professionally.Develop and continually enhance QA and QC scorecards for Front DeskComplete audits on Front Desk and work effort to ensure compliance to all procedures, such as, but not limited to, strict procedure of client registration in Meditech/Swiftqueue, establishing payment arrangement and/or obtaining the required documentation and information from our patients if payment is by 3rd party payer, before acceptance for treatment.Ensure HMC Customer Service practices and procedures for customer care are practiced by all Front Desk and that any incidents are reported accordingly.Support the Radiology Admin Team Manager with the investigation and resolution of complaints where appropriate.Complete monthly training needs analysis’s across the Front Desk and feed the findings back to the Radiology Admin Team Manager.In conjunction with the Radiology Admin Team Manager and other stakeholders, develop training material to educate staff on the areas identified during monthly TNAs.Deliver Training (Classroom or 1to1) to Front Desk to ensure their knowledge is maintained and enhanced.Ensure that Radiology administration information systems and workflows used therein are optimised to ensure maximum efficiency and accuracy of the EPR.Support the Radiology Admin Team Manager in developing SOPs for all Radiology admin processes.Control all Front Desk Cash management to ensure end of day accounting is completed accurately, that cash collected is banked and transaction records are maintained and processesHuman Resources Department Page 2 Review Date: September 2023 / procedures in Meditech/Swiftqueue as required by HMC finance department are completed thoroughly.Work with the Radiology Admin Team Manager to frame and deliver performance appraisals for all staff within the Radiology administration team.Coordinate the work effort across Front desk to ensure all task are completed within SLA.Manage and close out all GDPR requests within SLA.Support the Front Desk and scheduling teams in the case of sickness or annual leave.Deputise for the Radiology Admin Team Manager during their absence.Promote a patient centred culture of openness and responsiveness to positive and constructive patient feedback and ensuring patient dignity, respect and choice is maintained in their care.To run and respond accordingly to a series of reports to be compiled and managed daily, weekly or monthly.The PersonEssential requirements for the ideal candidate:Leaving Certificate or equivalent3 years’ experience in administrationFamiliar with a computerised patient information systems i.e.Meditech/SwiftqueueThe ability to interact and communicate effectively with multidisciplinary staff members within the Hermitage Medical Clinic.Practice high standard of customer service and careStrong leadership skillsFamiliar with a computerised patient information systemsThe ability to interact and communicate effectively with multidisciplinary staff members within the Hermitage Clinic.Good Microsoft office skills to include MS Word and ExcelExcellent written, verbal communication skillsGood time management and organisation skillsAbility to remain confidential with patient informationAbility to have empathy with patientsPractice high standard of customer service and care Why work at the Hermitage ClinicThe Hermitage Clinic are passionate about our people and believe in their development and growth.
