As a JCI accredited hospital, Blackrock Clinic is a progressive and pioneering hospital in which care for the patient is central to everything we do. ROLE PURPOSETo ensure supplier and consultant invoice are settled in accordance with agreed payment terms for goods and services providedMaintain a professional relationship with colleagues and customers, dealing with queries in an efficient, professional and courteous manner Being personally accountable for your own actions at all timesKEY RESPONSIBILITIES1.    Key Areas of Responsibility1.1      Daily review and filing of emails/post to ensure correspondence is electronically filed in the correct location and urgent queries are identified as a priority1.2      Prompt processing of invoices into the finance system, ensuring accurate coding and appropriate approvals are obtained prior to payment 1.3      Match invoices to purchase orders and/or delivery dockets, following up with purchasers or suppliers where there are price, volume or other discrepancies1.4      Distribution of invoices to business managers for review and approval 1.5      Responding to phone and email queries in a professional and courteous manner, escalating where appropriate to the Team Leader1.6      Monthly reconciliation of supplier statements and following up with suppliers to ensure missing paperwork is received in advance of the monthly payment run1.7      Regular reviews of disputed invoices with business managers to identify high value and aged queries as a priority to resolve1.8      Deal with routine calls from patients, consultants and staff. Queries must be resolved daily, or escalated to the Patient Accounts Manager if further action is required. A professional and courteous approach is expected at all times, for both internal and external customers1.9      Supporting the standardisation and improvement of processes, procedures, controls and systems1.10   Utilisation of Excel and Word Processing skills to maintain up-to-date spreadsheets and statistics.1.11   Carry out other such duties as required by Finance Management  2.    Communication Skills2.1      Communicate appropriately with colleagues and other members of the health care teams to ensure a quality service is provided to all while constantly striving for excellence in patient/customer care.2.2      Communicate in a manner that avoids antagonism, reduces conflict and prevents undue anxiety.2.3      Recognise limitations and seek assistance where necessary.2.4     Attend and contribute to appropriate meetings.2.5      Accept constructive advice when appropriate.2.6      Report all incidents immediately, which may adversely affect a patient, colleague or the Blackrock Clinic. 3.    General Expectations3.1      Support the philosophy, objectives and goals of Blackrock Clinic.3.2      Observe the appropriate lines of authority.3.3      Maintain strict confidentiality regarding all patients and the activities of Blackrock Clinic.3.4      Demonstrate flexibility by assisting in all areas of the hospital/clinic as required.3.5      The Ward/Unit Manager depending on the availability of locum cover will arrange annual leave; this usually means the holiday periods i.e. Easter, summer and Christmas.3.6      Participate in developing and providing quality care within Blackrock Clinic.3.7      Assist in orientation of new personnel.3.8      Continue to develop personal knowledge and skills and seeks outside educational opportunities.3.9      Present a professional appearance and conform to the dress, hygiene and infection control policies of the Clinic.3.10   Is always punctual on duty.3.11 Flexible attitude to changing work practises.Why work at the Blackrock Clinic?At the Blackrock Clinic, we are passionate about our people and believe in their development and growth.
